Office Support Administrator

Full-time based in Lutterworth, South Leicestershire

We are looking for a hardworking, friendly, adaptable, and well organised person to join the admin team.

We are a busy retail design agency working on multiple retail design projects for brands and retailers. There are a significant number of administrative tasks that take place day in day out to support the smooth running of projects and the general running of the agency.

JOB PURPOSE

  1. To provide professional, effective and efficient administrative support to Office Manager
  2. To aid Project Managers in accurate and timely project administration and research

KEY RESPONSIBILITIES

  1. Front line for reception (answering and directing calls, greeting visitors, and receiving deliveries)
  2. General office administration (opening and distributing post, ordering stationery, maintaining, and updating supplier and client contact details, organising overnight and same-day deliveries, arranging and completing paperwork required for EU & Worldwide consignments)
  3. Purchase Ledger – Receiving, processing, and collating supplier invoices – using Sage 200
  4. Support for Project Managers (raising and issuing Purchase Orders, booking in contractors, prop sourcing and research, contacting stores, closing completed jobs)

ESSENTIAL SKILLS

  • Computer proficiency – Experienced in programs including Outlook, Word and Excel
  • Ability to prioritise and manage multiple tasks
  • Well organised
  • Effective verbal & written communication – good telephone manner
  • Full driving license (Due to our semi-rural location)

DESIREABLE

  • Experience with Sage accounting software
  • Experience / confidence organising non UK shipments – including completing all necessary import / export documentation
